How to store thermal labels to preserve their quality?

Store your thermal labels in a clean, dry, cool, and dark place, keeping them in their original packaging until ready to use. Keep them away from direct sunlight, heat sources, humidity, and chemicals. Store rolls flat or on a stable holder, without crushing their edges, and use older compliant batches first.

These precautions mainly concern direct thermal labels: the paper surface is designed to react to heat. Improper storage can therefore darken the background, reduce barcode contrast, deform the media, or degrade the adhesive even before printing.

Why are thermal labels sensitive to storage?

A direct thermal label receives a treatment that changes color under the action of the print head. This property allows printing without cartridges, toner, or ribbons. It also explains why excessive exposure to heat or light can alter the media.

Two situations need to be distinguished:

  • blank labels, whose thermosensitive surface and adhesive must be preserved;
  • already printed labels, whose contrast and barcode must remain readable until the end of their use.

The five essential storage rules

1. Keep labels away from light

Do not store rolls on a shelf exposed to the sun or directly under an intense light source for long periods. Close boxes and bags after taking out a roll. A cupboard or opaque container is preferable to a windowsill.

2. Avoid heat sources

Keep labels away from radiators, hot pipes, laser printers, heat lamps, and devices producing continuous heat. Do not leave a stock in a vehicle parked in the sun or in a room where the temperature rises sharply.

Excessive heat can gradually darken thermal paper or alter its printing behavior. A very hot or very cold roll can also deform. If a package of consumables has just arrived after transport in extreme conditions, allow it to return to normal room temperature before opening it and starting a large run.

3. Protect from humidity and dust

The premises must remain dry and clean. Do not place rolls on the floor, near an outside door, or under a shelf where liquids are stored. Humidity can alter the paper, silicone liner, or adhesive; dust can then settle on the printhead and platen roller.

After opening, reseal the packaging around unused rolls. Avoid already damp boxes or dusty containers. If the original packaging is damaged, place the consumable in a clean, opaque container without pressing on its edges.

4. Separate labels from chemicals

Do not store rolls with cleaners, solvents, oils, aerosols, or cleaning products. Zebra's media storage documentation explicitly recommends avoiding chemicals and keeping media in its protective packaging.

5. Respect batch rotation

Note the receipt date or lot number on the outer packaging, without writing on the label surface. Place older consumables in front of new ones and use them first as long as they are in good condition and within their recommended use period.

This "first-in, first-out" method prevents rolls from being forgotten at the back of a cupboard. It is important because Zebra reminds us that many media and adhesives have a shelf life or expiration date specific to the product.

How to store a roll without deforming it?

Store rolls in their box or bag, on a stable shelf. Do not place heavy objects on them and do not squeeze several rolls into a container that is too narrow. The edges must remain regular: a crushed or misaligned roll can feed crookedly into the printer.

Do not remove the core and do not intentionally loosen the roll. Keep the end of the roll clean, without aggressive adhesive tape on the printable side. For a roll that has already been started, prevent the loose strip from trailing on the desk or touching the floor.

How to store fanfold labels?

Keep the stack flat, in its packaging, without placing any weight on it. The folds must remain regular and the edges aligned. A twisted or compressed stack risks feeding crookedly through the back slot.

What about after printing the shipping label?

A direct thermal label is suitable for short-term use such as shipping, but it should not be treated as a universal archive document. Zebra explains that heat, prolonged sun exposure, and abrasion can reduce its readability. The actual duration depends on the media and its conditions of use.

Print the shipping label as close as possible to parcel preparation. Do not leave a stack of printed labels in the sun or near a hot source. Avoid rubbing between printed sides and do not place chemicals on them.

How to check a batch that has been poorly stored?

Do not automatically discard the entire stock, but do not start a large run without testing either. First, examine the rolls:

  • Is the paper still white and uniform?
  • Are the edges flat, without waves or crushing?
  • Has the adhesive remained protected by the liner?
  • Does the roll turn without any hard spots?
  • Does a test label stick correctly on a clean package?

Then load a single roll, calibrate if necessary, and print several test labels. Check the contrast, centering, and barcode. If the background is grey, if the image lacks sharpness, or if the adhesive does not stick, put the batch aside and consult the conditions indicated by its supplier.

  1. Reserve a closed shelf solely for printing consumables.
  2. Separate dimensions into clearly identified bins.
  3. Write the reception date on each outer packaging.

  7. Replenish according to actual consumption, without accumulating disproportionate stock.
